Adding Users to your D4H Account

Easily add members of your team to your D4H account and manage their access.

Sending New Users Invitations for Team Manager

The following steps outline the process of adding new members and extending invitations to join your Personnel & Training, Equipment Management & Incident Reporting (Team Manager platform) account.

🔑 ACCESS LEVEL REQUIRED:  Owner or Editor

ℹī¸ NOTE: Access for D4H organizational accounts are currently administered by D4H. If you have an organizational account and need to modify or add users, please request your D4H administrator contact us at help@d4h.com. In the message, specify the permission changes you require and include the email addresses of the users involved.

Adding Members (Step 1):

  1. Go to Planning > Members
  2. Click + Add Members
  3. Add the member's name, their member status, and their email address and any other relevant member profile details
    1. For multiple members, click + Add Another
    2. For bulk upload, refer to the bulk import members from a spreadsheet article
  4. Click Import All Members
  5. Now, continue to grant access to the added members

Granting Access (Step 2):

This step starts the process of inviting a member and giving them access to your account based on the permission level you've chosen. It's a good idea to let your members know beforehand that they'll get an invitation. Keep in mind, the link in the email is valid for 24 hours. If it expires, you can resend the invitation.

  1. Go to the đŸ‘¤ user menu in the top right
  2. Click on Access Control
  3. In the last column click Send Invite for the member
    1. Each member must have a valid email address to which the system can send an invite
  4. Select the user permission level
  5. Click Send Invite
  6. The member will receive an email to create their D4H user account; if the email is not in their Inbox direct them to check their Spam/Junk
    1. Refer your members to Signing Into D4H Account once they have received the invitation to join your D4H account.

Resending User Invitations for Team Manager

If members haven't completed the Signing In Process within 24 hours of the first invite or if you update their email, you might have to resend invitations to join your Personnel & Training, Equipment Management & Incident Reporting account (Team Manager platform).

🔑 ACCESS LEVEL REQUIRED: Owner or Editor

  1. Go to the đŸ‘¤ user menu in the top right
  2. Click on Access Control
  3. Locate the member and click Resend Invite 
    1. Each member must have a valid email address to which the system can send an invite
  4. Select the user permission level
  5. Click Send Invite
  6. The member will receive a new email invitation
  7. To resend invitations for multiple users, click on the Resend Expired Invites button, and then select Send _ Invites. Important to note that this process maintains the same permission level as initially set when the first invitation was sent out

Sending New User Invitations for Operations Center

The following steps outline the process of adding new members and extending invitations to join your Incident Management (Operations Center platform) account.

🔑 ACCESS LEVEL REQUIRED:  Account Owner

Adding Personnel (Step 1):

  1. Go to the Admin Area
  2. Expand Collections
  3. Open Personnel
  4. Click on the orange Add button
    1. If you wish to bulk import a large number of members all at once, see the importing personnel in collections article
    2. If you wish to import your personnel from your Team Manager Personnel & Training account into your Operations Center account, see the D4H Products Integration article
  5. You will need a name and an email address to create an account
  6. Click Save
  7. Once you Save, you can add in more details like a Phone Contact or anything else you are capturing in the Personnel Template

ℹī¸ NOTE: Phone numbers must be in the following international format: +1 801 333 4455. This allows the mobile app to recognize the numbers and make calls using your device

Granting Access (Step 2):

This step starts the invitation process, giving the member access based on the permission level you've chosen. It's best to let your members know beforehand. Remember, the link in the email is valid for 24 hours. If it expires, just Resend the Invitation.

  1. Go to the Admin AreaCollections > Personnel
  2. Double click on the Member's name
  3. Click the orange button Send Invite
  4. Choose Permission Profiles from the drop down list
    1. You can also assign your members custom permission levels and/or additional granular permissions, see the Configuring Permission Profiles article
  5. Click Save 
  6. The personnel will receive an email to create their D4H user account; if the email is not in their Inbox direct them to check their Spam/Junk
    1. Refer your members to Signing Into D4H Account once they have received the invitation to join your D4H account.

Resending User Invitations for Operations Center

If members haven't completed the Signing In Process within 24 hours of the first invite or if you update their email, you might have to resend invitations to join your Incident Management account (Operations Center platform).

🔑 ACCESS LEVEL:  Account Owner

  1. Go to the Admin AreaCollections > Personnel
  2. Double click on the Member's name
  3. Click the orange button Send Invite
  4. Choose Permission Profiles from the drop down list
    1. You can also assign your members custom permission levels and/or additional granular permissions, see the Configuring Permission Profiles article
  5. Click Save 
  6. The member will receive a new email invitation
