Updating the Status of an Item
Changing the status of an equipment item allows you to understand what items are still operational within your inventory, as well as make plans with procuring more items to support your organization.
🔑 ACCESS LEVEL REQUIRED: Member+ with Equipment Editor enabled, Editor or Owner
Equipment Status Descriptions:
- Out of Service is the status for items of equipment if they are still within your inventory but cannot be used. For example, the item is now out of service due to a Failed Inspection or the item Needs a Repair.
- Retired, Lost, or Inactive is the status for items as Retired, Lost or Inactive if you no longer have those items in your inventory. See configuring retirement reasons.
- Wishlist is the status for items that you do not currently have in your equipment inventory but would like to have.
Updating Individual Item Statuses
- Go to Logistics > Equipment
- Open the piece of equipment through Categories > Kinds or by searching for the equipment ref # on the search bar
- Click Change Status for updating the status between Operational and Out of Service only
- Leave a comment as to why you are marking the item as Out of Service
- You can also mark the item as a 'Critical Item' so that the system generates an alert whenever this item is marked as out of service
- Select Update Details for updating for any status
- Select the new Status
- When marking an item as Retired, select the retirement reason (if retirement status reasons are configured) and specify the Retired date
- Click Save Changes
Bulk Updating Item Statuses
- Go to Logistics > Equipment
- Open the Categories > Kinds
- To bulk select items;
- Check the box next to the Ref column to select all items
- Use Select None to clear the selection
- Choose an All items option for bulk selection
- Or, manually select specific items by checking individual boxes
- Open the Bulk Action dropdown in the top left
- Select Edit to modify item details or Retire to mark items as retired
- In the popup;
- For editing items:
- Select Field to update from the dropdown.
- Choose a new value from the New value dropdown
- To update additional fields, click +Add another field to update and repeat the process
- For retiring items:
- Set a Retired Date, choose a Retirement Reason, and add a Note if needed
- You can also mark the item as a 'Critical Item' so that the system generates an alert whenever this item is marked as out of service
- For editing items:
- Click Update # items... or Retire # item... to apply the changes
