Completing an Inspection

🔑 ACCESS LEVEL REQUIRED: Owner, Editor or Member/Member+ with Equipment Basic

ℹ️ NOTE: If you have turned on the auto-unserviceable setting, and an item of equipment is not inspected by it's due date, it will mark the item as Unserviceable and you will need to update the status manually or complete the inspection to set it back to Operational.

⚠️ ATTENTION: If the inspection was completed more than 1 day ago, only an Account Owner can make changes to that inspection. This includes adding any attachments as well.

Previous Inspection Feature

If you have not Enabled Inspections Steps or were a D4H Equipment Management customer before May 2024, please refer to the guide below for the Previous Inspection Feature.

WEB APP

  1. Go to Logistics > Equipment
  2. Click on the Inspections tab
  3. Select the Inspection you want to complete
  4. Select the result icon of the inspection next to each item (see the result options below)
  5. You have the option to leave a comment
  6. Select the inspection completion date from the calendar
  7.  Click Save Changes
  8. Repeat steps above until all items have been inspected

Result Options

  • Operational: The inspection has been completed and the item is marked as operational 
  • Out of Service: The inspection has been completed and the item has been marked as non-operational 
  • Monitor item: The inspection was completed but you want to keep an eye on the item by putting it on the monitor list 
  • Repair Required: During the inspection a repair was identified. The repair can be created directly from this screen
  • Lost: The item was not in its location when you went to inspect it so it has been marked as lost

MOBILE APP

  1. Open the D4H Equipment Management app
  2. From the home screen, click the more options ☰ menu in the upper left
    1. Or you can access the inspection directly from the main screen
  3. Select Inspections
  4. Chose an inspection to complete
  5. Follow the steps listed under Inspection Steps
  6. Chose a result of the inspection from under Status
  7. Click Submit

New Inspection Feature

If you've Enabled Inspections Steps or became a D4H Equipment Management customer after May 2024, please refer to the guide below for the New Inspection Feature.

⚠️  ATTENTION: An inspection cannot be passed if any of the inspection steps are marked as a Fail. Additionally, the inspection will fail if the item status is marked as Lost.

WEB APP

  1. Go to Logistics > Equipment
  2. Click on the Inspections tab
  3. Select the Inspection you want to complete
  4. Click Inspect Now or Continue Inspection next to the item you are inspecting
  5. Select Pass, Fail or N/A next to each step in the inspection;
    1. If any step is marked as a Fail, it will result in the entire inspection being marked as Fail
  6. You have the option to leave a note on each step
  7. Select the ✎ edit icon under Item Status to assign the status of the item to Operational, Unserviceable or Lost but leave as is if the status will not change
  8. Select the ✎ edit icon under Attachments to upload an attachment to this item's inspection
  9. Select the ✎ edit icon under Date Completed to select the inspection completion date from the calendar
  10. To create a Repair as a result of the inspection, select Add Repair under the applicable step or under Advanced Options
  11. Mark the item's inspection result as either Pass or Fail
    1. Click Save for later.... if wish to stop and pick up the inspection at a later time
  12. Repeat steps above until all items have been inspected

Advanced Options

  • Inspection Notes and Repairs: Include comments or schedule repairs for the entire inspection here or for each specific step, as outlined in the steps above.
  • Item Status: Maintain the item's status as Operational or designate it as Unserviceable or Lost.
  • Date Completed: Keep today's date as the completed inspection date or modify it as needed.

  4. Click either Due & Soon or All Inspections
  5. Chose an inspection to complete
  6. Select Inspect Now
  7. Select Pass, Fail or N/A next to each step in the inspection;
    1. If any step is marked as a Fail, it will result in the entire inspection being marked as Fail
  8. You have the option to leave a note on each step
  9. Select the ✎ edit icon under Item Status to assign the status of the item to Operational, Unserviceable or Lost but leave as is if the status will not change
  10. Select the ✎ edit icon under Attachments to upload an attachment to this item's inspection
  11. Select the ✎ edit icon under Date Completed to select the inspection completion date from the calendar
